Festival Rules & Regulations

  • All applications are subject to approval by the BUTTAHATCHEE RIVER FALL FEST screening and selection committee.

  • The Hamilton Area Chamber of Commerce and Buttahatchee River Fall Fest reserve the right to refuse any application.

  • You will be notified by phone, postal mail or e-mail no later than Friday, October 21st, 2011 of your application’s acceptance or rejection.

  • NO refunds will be issued after Thursday, October 20th, 2011.

  • NO PERSONAL CHECKS will be accepted. We only accept money orders, or cashier's checks. Applicants who desire to pay by debit or credit card may use PayPal available through our web site: www.hamiltonfallfest.org.

  • There will be a $25.00 late registration fee after Wednesday, October 19, 2011. Late and onsite registration will be permitted, depending upon availability of booth(s). However, all booth set–up times and requirements remain the same. No exceptions.

  • NO sale of animals allowed.

  • NO weapons of ANY type permitted. (This includes toy guns)

  • NO items with obscenities or any items which are deemed inappropriate or do not meet community standards.

  • The BUTTAHATCHEE RIVER FALL FESTIVAL is held in Downtown Hamilton, Alabama – in and around the Court Square of the Marion County Courthouse and throughout the downtown area.

  • This is an OUTDOOR festival. It is the responsibility of each vendor to be prepared for inclement weather conditions.

  • There will be NO demand refunds in the event of inclement weather.

  • The BUTTAHATCHEE RIVER FALL FESTIVAL will be held rain or shine.

  • Set-up time begins on Friday, October 28th at 5:30 p.m. to 7:30 p.m. and resumes again on Saturday, October 29th at 6:30 a.m. to 8:00 a.m.
    For ease of traffic flow, we ask every vendor to unload their merchandise into their booth, move their vehicle and/or trailer, and then return and set up your booth.

  • All vendor vehicles MUST be moved no later than 8:00 am on Saturday, October 29th.

  • Please report to the Hamilton Area Chamber of Commerce booth located on the corner across from the Marion County Courthouse to receive your booth assignment and a “Certificate of Participation”. This certificate MUST be displayed in your booth throughout the festival and be visible to festival or law enforcement officials.

  • Booths are NOT to be taken down earlier than 4:00 p.m. Saturday, October 29th. Anyone who disobeys this rule will be barred from future festivals for noncompliance.

  • There are a limited number of spaces available with electricity. These will be assigned on a first come, first served basis. If you have requested electricity for your booth/s, you will be responsible for providing your own extension cord. Please bring duct tape or other appropriate covering to secure the cords that you use in and around your booth(s).

  • Please fill out the registration form COMPLETELY.

  • Temporary Food Event – Basic Requirements
    The following are the basic items that a temporary food service is required to have before it will be permitted:
    • Overhead protection and screens, walls, and/or fans for insect protection.
    • A pressurized two or three-compartment sink.
    • A pressurized separate hand sink.
    • A hot water heater.
    • Cold holding equipment capable of maintaining 45 degrees Fahrenheit or lower temperature. *
    • Hot holding equipment capable of maintaining 140 degrees Fahrenheit or greater temperature. *
    • Potable water holding tank or hook up to approved water system.
    • Sewage holding tank or hook up to approved sewage disposal system.
    • All products from approved sources and properly labeled or labels available.
    • A metallic stem product/probe thermometer of 0 degrees Fahrenheit – 220 degrees Fahrenheit scale.
    • Test strips for sanitizing solution.
    • Sanitizing solution. **
    All of these requirements are necessary in most situations, but there are a few exceptions. Either provide these requirements or contact us to discuss your particular proposal.
    * Required for all potentially hazardous foods that are held before service.
    ** Contact the Health Department for information concerning approved sanitizing solutions.

I understand that the Buttahatchee River Fall Fest, the Hamilton Chamber of Commerce, and the City of Hamilton shall not be liable for any claim or loss or damage of any kind to my exhibit or me, and I agree to release and hold them harmless for such liability. I understand that failure to follow any of the listed conditions and requirements for participation in the Buttahatchee River Fall Fest will be grounds for removal from the festival.
